Submitting Timesheets for Per Session Payment

General Per session Regulations:

  1. An OP 175 (Application for per session employment) must be on file for any activity that will exceed 24 hours BEFORE the timesheet is handed in for payment. 

  2. A separate timecard for each per session activity must be stamped at the beginning and end of each session. Do not use the same timecard that you use for daily attendance. Additional timecards can be obtained from the payroll secretary.

  3. If your per session activity involves students, an attendance record must be attached to each time sheet. Time sheets will not be approved without proof of service provided.  

  4. All time sheets must be approved by your department supervisor. 

  5. Time sheets are due on the 1st and the 16th of each month. Time sheets submitted late will not be processed until the next per session processing period. They must include the posting number on the top. 

  6. Only pre-approved activities will be paid, and they will only be paid to the agreed upon number of hours.

  7. You may not bill per session hours for work done during the contractual professional development times. 

  8. Per session hours may not be worked on a day when you are absent. 

  9. Per session will not be paid for anything logged during the official school day. 

  10. Failure to follow guidelines will result in a returned time sheet and possible delay in payment. 

  11. DO NOT accumulate a pile of “backed up” per session to hand to me in a stack.  This will definitely cause a delay in your payment. In addition, because the budget is never guaranteed, by the time you put in for payment, there may not be sufficient funds in the payment line. Late per session will be kept until the end of the year and processed at that time, if funds are still available.
